Terms And Conditions

Bookings

  1. All bookings must be made through www.nickpecktennis.co.uk
  2. By making the booking you agree to the Terms and Conditions listed below and agree to attending the full course during the dates provided on your booking confirmation.
  3. Players can only attend courses as stated in the booking and cannot attend different days if they are unable to make the original course dates. You can choose to swap a course subject to availability and assuming a permanent change for the remainder of the course.
  4. Bookings cannot be transferred to another person for any reason at any point in the course.
  5. Payments are made at the time of booking via our online portal hosted by Square.
  6. You agree to pay all course fees as stated at the time of booking.
  7. NP Tennis reserves the right to cancel or refuse any booking for whatsoever reason. If the booking is refused a full refund will be processed. Any booking cancelled for whatsoever reason during the course will not be refunded.
  8. By making this booking you agree to drop off your child and pick up at the session times stated. If for any reason you are going to be late please notify the coach.
  9. If a player banned from taking part makes a booking and payment, that booking will be declined and payment refunded.

Cancellations and Refunds

  1. Sessions will be cancelled in the case of bad weather or if the coach feels the facilities do not pass our Risk Assessment.
  2. Any coach working for NP Tennis reserves the right to cancel any session at their discretion on the grounds of safety or bad weather.
  3. In the event of cancelled sessions NP Tennis and the coach running the session will in the first instance, try to make up the session(s) at the end of the coaching block or in half term on the same day and time as your existing sessions, secondly, apply credit to another course or provide a refund for the missed session(s), but only if extra sessions are not,or cannot be offered. We always leave spare weeks at the end of the school term to offer these so please note these in case they are required. Refunds or credit will not be given if an extra session goes ahead. If an extra session goes ahead and the player is unable to attend, they may attend on another day to a course for their age group. For clarity, refunds or credit will only be offered if extra sessions are not offered or do not go ahead. Extra sessions may be offered in term time and school holidays, usually half terms. These will be communicated by NPT if and when required by email or text / WhatsApp.
  4. A Session will be deemed completed if more than half (50%) of the time has been completed. In this situation no extra session or refund will be offered.
  5. NP Tennis reserves the right to offer refunds at their discretion for any reason.
  6. Players not attending sessions for any reason other than coach cancellation do not qualify for refunds.
    6a). Refunds or credit are not provided if players pull out of the course at any stage for any reason.
    7. As per booking terms above you agree to attend and pay for the course in full.
  7. Any credit owing will only be carried forward to another course for a maximum of 12 months from the end of the course where credit is owed. After this period no credit will be owed.
  8. No refunds will be given for any player removed from a course due to bad behaviour.
  9. You have the option for a refund if you do not wish to carry credit forward. This must be applied for in writing to NP Tennis. Applications for refunds must be received within 30 days from the end of the course. This is assuming make up sessions are not offered as per clause 3 above.
  10. NP Tennis reserves the right to not offer refunds or credit outside of the stated time frames.
  11. Any promotional event run by NP Tennis is subject to the same terms and conditions set out above. Any refunds of credits given will be subject to the promotional rate per session.

Code Of Conduct

  1. All Players are expected to behave in an appropriate manner during a session.
  2. This means following instructions clearly in the lesson, doing what coaches ask them to do, not disrupting other children by messing about, not being physically or verbally aggressive towards others in the group or coaches, use of bad language will not be tolerated at any stage, behaving in a manner so not to endanger the safety of others in the group.
  3. Parents are also expected to treat coaches and others with the same respect above.
  4. If a child or parent does not behave in the manner expected by the coach, in the first instance the coach will speak to the child directly. Further persistent bad behaviour will result in parents being spoken to about their childs behaviour, and asked to make sure it improves for future sessions.
  5. If the above steps fail to change a players behaviour the coach reserves the right to not allow that child to attend. This will be done by informing the Head Coach and Company owner Nick Peck, who will contact the parents.
  6. Any child banned for bad behaviour will not receive any form of refund for any remaining sessions.
  7. Any child banned for bad behaviour will not be welcome back to any future session run by NP Tennis.
  8. NP Tennis is a privately owned company, therefore does not reflect the views or rules of other organisations and sets its own rules accordingly.
  9. There will be no grounds to appeal any decision made by NP Tennis.

Notifications

  1. If we need to notify you of a session cancellation for any of the reasons stated above we will do so via WhatsApp. This will be our only method of communication.
  2. At the time of booking you will be asked to consent to us adding you to a WhatsApp Group for your particular session, and approve us adding your mobile number to the group and that numbers will be visible to others within the group.
  3. If you do not consent you accept that you will not receive notifications and may miss important information regarding your sessions.
  4. WhatsApp Communities and groups will be ‘ admin message only’ this means you will not be able to comment in the groups. If you wish to message us you will need to do so privately outside of there group.
    5. 5) You can ask to be removed from the group at anytime but accept you will not receive notifications and will need to contact us separately if you are unsure on sessions running ie weather.

Data Protection

  1. All data personal data received by NP Tennis will only used solely for the purpose of NP Tennis and its marketing of future courses or activities. Your details will not be passed on to any third parties unless prior consent is sought.
  2. All of our booking data is stored securely on our server provided by B2IT of Cambridge or in the case of LTA Youth Start Courses held on our secure Clubspark system run the the Lawn Tennis Association.

Clothing, Footwear and Equipment

  1. NP Tennis expects players to attend sessions wearing appropriate clothing and footwear for Tennis.
  2. For the purpose of clarity this means sports clothing , tracksuit bottoms or shorts and t shirts Tennis skirt / dress.
  3. Appropriate footwear must also be worn ,trainers or tennis shoes only. Under no circumstances must astro style trainers be worn or any other type of shoe that may endanger the safety of the player.
  4. Under no circumstances is school uniform acceptable. Clothing or footwear.
  5. NP Tennis and any coach working for NP Tennis reserves the right to not allow a player to take part in the session due to inappropriate clothing or footwear being worn. On this basis no refund will be given if such circumstance occurs.
  6. Parents are responsible for sending children ready for tennis. This includes making sure they have a drink, suitable clothing and footwear, a hat and sun cream during the warmer months.

Access to Courts

  1. Players must not enter the courts until the coach is present.
  2. NP Tennis accepts no liability for any incident that occurs outside of its advertised session times by club members or non club members.

Photographs

  1. NP Tennis occasionally takes photographs of participants in our sessions.
  2. Photographs will only be taken of your child if the prior approval has been sought, this will be completed at the time of booking.
  3. By agreeing to photos being taken of your child you agree to them being used occasionally on social media and our website. If you do not approve of this please select ‘No‘ in the photo consent box at the time of booking.
  4. If you are a parent taking photos of your child please try to ensure you do not include other children in your photos. If any child does not have photograph consent you will be asked not to take pictures.
  5. NP Tennis does not accept any liability for photos taken by others.

Complaints Procedure

  1. If you have any complaints please make sure these are directed to Nick Peck in writing unless you speak to Nick in person.
