The following Privacy Policy is relevant to NP Sports Services Ltd TA Nick Peck Tennis. It explains clearly the data that is being collected, for what purposes and how it will be used.

Nick Peck Tennis provides tennis coaching to children and adults in tennis clubs across Cambridgeshire and Bedfordshire. Data is collected for the future running of the company and to inform data subjects (customers) of our continued products and services we offer.

What information is being collected?

We collect relevant information that is used for the essential running of Nick Peck Tennis. The information we collect must be given freely by a parent / Guardian or relative of all children we coach,or adult members of respective tennis clubs we coach at. Under no circumstances must a child fill in the data themselves. For clarity a child is classed as any person under the age of 18.

The information collected includes Addresses, Emails, Mobile Telephone numbers, Dates of Birth and any medical information required for player safety.

Who is collecting it?

The data is collected by the companies Data Controller Nick Peck (Company Owner)

How is it collected?

The data is collected by an online booking process through our website www.nickpecktennis.co.uk or given to us by members of tennis clubs or passed to us by the relevant tennis club committees. This data is freely given by the parent / guardian / relative of the child at the time of booking online or by tennis club members agreeing to data being passed to us when purchasing membership at a club. You will not be asked to sign up through any other website under any circumstances. Please inform us if this is the case.

Why is it being collected?

The data is collected in for the running of Nick Peck Tennis. This enables us to contact you about future products / services we are providing, have emergency contact details for parents during the session in the case of injury or illness to a player, ensure the coach of that session is aware of any medical issues that could cause a problem during the sessions which, in the event of a medical emergency be passed on to relevant medical personnel. This is necessary in order to protect the vital interests of the player.

How will it be used?

Data will be used to contact parents,players and club members about future products and services Nick Peck Tennis runs in order to keep the business running smoothly and efficiently. It will not be used for any other purpose other than the running of Nick Peck Tennis.

We will only ever contact you by email or mobile text / call.

Who will it be shared with?

Data will not be shared with anyone outside of Nick Peck Tennis. Data may be passed securely to other coaches running the sessions on behalf of Nick Peck Tennis to ensure the safety of players during those sessions. Data will not be passed to any other organisation or individual.

What will be the effect of this on the individuals concerned?

We believe no person will be affected in any way by the use of our data. The data collected is simply to inform players and members of new products / services and to ensure player safety at all times.

Is the intended use likely to cause individuals to object or complain?

We believe no individual should have cause for complaint by the use of data. Individuals will have right at any time to opt out of receiving any kind of marketing information from us. Any complaints can be made to the data controller.

How is Data stored?

All of our data is stored on our secure server hosted by b2IT (Cambridge) Ltd and contact details stored on ICloud, Dropbox and Google Cloud accounts. Access is restricted to staff with valid usernames and passwords.

How long is Data stored?

Data is stored for a maximum of 6 years from the date of last booking in the case of children courses unless an individual requests that data is deleted, in which case this will happen within 48 hours of the request to delete the relevant data.

Tennis club members data will be automatically deleted if a member does not rejoin the respective club or leaves the respective club. New members will be contacted and asked for permission to receive information on products / services.

How can I access the information you hold about me?

You can request the information we hold on you by us sending copies of our booking receipts we receive at the time of any bookings made by you. The data we store is no more than information freely provided by you. You can at any time request to see these details.

Can I opt in opt out?

Yes, at the time of booking you will be asked to opt in to receive further marketing communication from us via our Privacy Statement. If you choose 'Yes' to opt in we will continue to send you relevant information. If you choose 'No'’ to opt out we will not send any further communication to you, however this does mean we will not be able to inform you about future products & services we provide. We only recommend this if you do not wish to use our services / products in the future. You can choose to stop receiving this information at any time by emailing info@nickpecktennis.co.uk and we will delete your information from our records.
